Advanced Customer Directory: Service Fields

If you want your customers to provide certain information when booking a service online, you can create service fields for this purpose. For each of your services, you can define your own service fields, so customers only need to provide the information that is necessary for the desired service.

Application example:
You offer piercings and tattoos in your business. Customers who want a tattoo must upload an image during booking and provide some information about the desired size and color. Customers who book a piercing must specify the body area.
You can access this area via Settings > Advanced Customer File
If this function is not enabled, it can be activated via "Settings > Add Function".

Creating service fields

1. Create a tab
First, create the desired tab under Settings > Advanced Customer File, in which you want to group the service fields for a single service later. Of course, you can also use an existing tab.


2. Create customer or appointment fields
Then create the customer or appointment fields that your customers should fill in when booking and assign them to the desired tab.


3. Link service with fields
Under Settings > Advanced Customer File you will get an overview of the already linked tabs. To assign the desired service fields to a service, proceed as follows:

  1. Click on the desired service
  2. Select the desired tab under "Online Booking" in which the service fields are defined.

Customers who select the edited service in online booking can edit the displayed fields directly in the booking interface:

Online Booking Overview

With Belbo Online Booking, you can give your customers the option to book appointments themselves at any time. You have very precise control options for how and when your customers can book these appointments. This allows you to customize online booking to suit your preferences. Everything is possible, from "Every customer may book all services at any time, even without logging in" to "Only regular customers selected by me may book certain services on certain days".

Your personal Belbo Online Booking

Every Belbo calendar always has an online booking page. You can find it at the web address where your calendar is also located. However, the address of the online booking page ends after the .com. If your calendar has the address
meinkalender.belbo.com/office
then you will find your online booking at
meinkalender.belbo.com.

Your customers can only book those services that you have explicitly released for online booking. Customers also never have direct insight into your calendar, but only receive suggested times for still available appointments. Simply log in with your existing login credentials and book an appointment to see how online booking works for your customers.

Linking online booking on your website

We recommend prominently displaying your online booking on your website. We have created a collection of various buttons that you can download and embed on your website. Of course, you can also use your own designs.

Online payment and your own voucher shop

If you wish, your customers can pay for booked services immediately online. You can choose from various payment options:

  • Offer credit cards, SofortÜberweisung, Apple Pay, and Google Pay
  • Offer PayPal

If you offer your own voucher shop, your customers can purchase vouchers directly from you online and pay with the payment methods mentioned above. This way, you give your customers the opportunity to spontaneously buy nice gifts, and you expand your customer base.

Invitation emails

In the file card of every customer who has not yet registered for online booking, there is a prominent link "Invite customer to online booking", as soon as an email address is stored in the customer file card.

Tip: If you want to send an email newsletter with invitations to your entire customer base, use the marketing functions.

Compose invitation email
Enter the subject and text content of the email that should be sent to your customers.
Please note: Salutation with the customer's name and closing greeting are added automatically. You do not need to include these yourself.


Use invitation email
In each customer file card for which an email address is stored, you will find the link "Invite customer to online booking", provided they have not yet registered. When you click on this link, a text input field appears with your text template, which you can edit if desired.

Online booking for different customer groups

If you wish, you can create different online booking processes for various customer groups.

Use case example:
If you want to offer your regular customers different prices and services than your new customers, you can create different booking processes for both customer groups. When a new customer logs in, she will only see the prices and services intended for new customers.

Prerequisite for creating different booking processes

You can create a separate booking process for each customer status. Here you will learn how to create a customer status and how to assign this status to a customer.

Block online booking for specific customer groups

In each customer file you have the option to block individual customers from booking. However, if you wish, you can also exclude all customers of a specific customer status from booking.

Use case example:
You decide to permanently exclude all unreliable customers from online booking to avoid appointment cancellations. Assign all these customers a special customer status and edit the status. This way you don't have to block all customers in this group individually.

Note: Please note that your customers have the right under the General Data Protection Regulation to request all data that is stored about them. This also includes their own customer status.

Custom Terms and Conditions for Online Booking

In the terms and conditions, you can specify whether your customers must accept your terms and conditions before they can make a binding appointment booking. Additionally, you can write your own terms and conditions.

You can access this area via Settings > Terms and Conditions.
If this function is not enabled, it can be activated via "Add Function".

Online Booking Settings: Appointment Settings

In the appointment settings, you can customize the appointment booking according to your wishes.


Number of appointments
Determine the maximum number of appointments that a customer can book at the same time. The number of appointments refers to future appointments. If the customer already has this number of open appointments, they must wait for one appointment to pass before they can book a new one.

Appointment cart
Limits the number of selectable services for the customer app (deprecated).

only one employee available / show employee image in time selection
If this field is not activated, no employee will be shown for selection (and thus no employee image) as soon as only one single employee is available.
If you would still like to show which employee the service is booked with, activate this function.

Booked appointments can be cancelled by the customer
Allows your customers to cancel booked appointments themselves. You can determine the cancellation period under Time Limits.


Booked appointments can be rescheduled by the customer
Allows your customers to reschedule booked appointments themselves. Learn more about rescheduling appointments here.


Show the last booked service during booking
Customers who log in before booking will see the last booked service and can rebook it with one click. Of course, they still have the option to choose other services.


Show involved employees
If you offer services that are distributed among multiple employees, you can show these employees to the customer during booking. This way, the customer can already see which colleagues support the selected employee with additional work.

Online Booking Settings: Time Limits

In the time limits, you can set important time periods for your online booking.

You can access this area via
Settings > Online Booking > Time Settings

Booking Limit
The booking limit determines how spontaneously a customer can book appointments with you. Short time periods also allow appointments with short notice.

Future Limit
The future limit determines how far in the future customers can book appointments.

The online bookability of your staff is also based on the entered working hours. If the schedules are not planned accordingly in advance, customers cannot find appointments,
even if the future limit would allow it.

Appointment Cancellation Limit
The appointment cancellation limit determines how short notice customers can cancel appointments.

Online booking settings: Registration

In the registration settings, you can determine whether and how your customers can register themselves on your online booking page.

You can access this area via
Settings > Online Booking > Basic Settings > Registration.

Allow appointment booking without login
If you allow booking without login, customers can book an appointment without prior registration. After the customer has selected the desired appointment, they enter their details without logging in and registering.

  • Advantages: Customers who prefer not to register can quickly book an appointment.
  • Disadvantages: Customers must provide all their data every time (name, first name, email, mobile number, etc.). The appointments are not assigned to the corresponding customer file.

Also show available times, then prompt for login
If you want your users to log in only after viewing the available times, activate the function.

Customers can register themselves.
If you do not want customers to be able to register themselves, deactivate this function. This way, only customers with existing access can book appointments.
You have the option at any time to invite selected customers in the customer file to online booking.

Customers must provide their mobile phone number during registration
During registration, a mandatory field "Mobile number" is created. Customers can only register if this field is filled in.

Customers must provide their landline number during registration.
During registration, a mandatory field "Landline number" is created. Customers can only register if this field is filled in.
