Everything about: Recurring Appointments & Courses

Create Series Appointments

If you want to enter recurring appointments in your calendar, you can do so very easily.

Example:
A customer comes every 4 weeks on Mondays at 14:30 to use the same service.

Enter a recurring appointment

To enter a regularly recurring appointment, first navigate in the calendar to the date of the day on which the first of the appointments to be created should be scheduled.

  1. Click on the calendar at the desired time.
  2. Enter the customer's name and the desired service.
  3. Click on "Options".
  4. Activate the checkbox for "Recurring appointment"
  5. Enter the desired frequency and the time period during which the appointment should be repeated at the selected frequency.

In the above example, the appointment is entered at 4-week intervals for 20 weeks. A total of 6 appointments are created.

Attention: When you assign recurring appointments, you must be sure that you can keep them. After saving, please check the recurring appointments you have entered. These are entered into the calendar, even if appointments or breaks are already scheduled on the corresponding days.

View follow-up appointments

When you click on an appointment in the created series, the follow-up appointments entered in the calendar are also displayed.

Delete follow-up appointments

To delete one or more follow-up appointments, you can simply click on "remove" next to the desired appointment in the open appointment details dialog. The associated appointment will be deleted.

Courses

If you offer courses or workshops, you can create them in the Belbo calendar. Employees can view and add participants, while customers can register for them in the online booking until the maximum number of participants is reached.

Important requirements for managing courses

Activate courses
Under "Settings" you can generally specify that you can create course templates and courses. Click on "Add function" to activate courses.

Choose course designation
Fixed dates for which one or more customers can register are referred to as "Courses" in the Belbo calendar by default.
If you wish a different designation, such as "Workshops" or "Events", you can set this under Settings > Courses > Course type.


Courses and course categories

You can access this area via Settings > Prices and Services > Courses.

Before you can enter courses in the calendar, you should create course templates. All course templates are organized in course groups.


Create course groups
Click on + Create new course group in the course overview and enter the name of the course group. Select the option to display the course group in lists (recommended) and optionally select a color.

Tip: You can also create course groups when you click on + Create new course.

Create courses
Click on + Create new course in the desired course group and enter the name, duration and price of the course.
If your course should not have a price – for example because members can book all courses within their contract at no additional cost – enter "0" and set the price property later in the finished course.


Edit course properties
By clicking on the blue linked course name, you can edit numerous properties of the course. You can find detailed information on all service properties here.

Course-specific properties

  • Booking: If desired, you can hide the number of participants in the online booking.
  • Hide duration: If desired, you can hide the duration of the course in the online booking.


Courses in the calendar

Enter courses
To enter your courses in the calendar at the desired time, click on the time in the calendar on the desired day at which the course should take place and select the Courses tab. First select the desired course and define the maximum number of participants.


Repeat options
To be able to offer courses regularly on the selected day of the week at the selected time, select "Repeat options" and choose the desired frequency as well as the number of weeks. After saving, the course will automatically be entered for the following weeks as well.


Move, edit or delete courses
To change the time of a course, move it to another day or delete it, click on the desired course and use the buttons.


Edit course participants

View participants
You can see the number of participants directly in the calendar. To see exactly who is participating in the course, click on the course.


Add participants
To add participants to the course, click on the desired course, select + Add participant and enter the customer data.


Print participant list
To print a participant table that can be signed by customers, select the Print button.


Remove participants
To delete participants, click on the course and select the Remove button in the row of the customer to be removed.


Courses in the online booking

Once you have entered courses in the calendar, customers can register for them in the online booking.
