Everything about: General Settings

Settings History

In the settings history, you can track which employee changed which settings in your Belbo system.

You can access this area via Settings > Account > Settings History

Here you have a clear overview of all settings made in your Belbo system:

Password forgotten

You have forgotten your access credentials and can no longer log in to your app or calendar? You have the following options.

  • Check whether the Caps Lock key on your keyboard is active. This can cause your password to be rejected!
  • Check whether you can log in from a different device and then check your username again if necessary.
  • Check whether you are using the correct email address and ask a logged-in colleague if necessary to check the email address in your profile.
  • Have an email sent to you

    You can have a message sent to the email address with which you log in, via which you can set a new password. You will find this function:

    Login page

    On the login page of your calendar below the password entry. To get there, you may need to log out.

    In the calendar

    Under Settings > Employees, after clicking on the employee whose password you want to change, in the "Login" tab. Here you can select "Change password" and then click on "Forgot password".

    You will receive an email with instructions for resetting your password.

For security reasons, we recommend you choose a new, secure password every 3 months.

Discounts » Settings

You can create discounts in Belbo for cash registers and online bookings. Find out how here. You have numerous options to customize your discounts according to your wishes.


You can access this area via Settings > Vouchers > Discounts
If this function is not enabled, it can be activated via "Settings > Add function".



After you have created a discount, you can edit it.

Settings

  • Name: Assign a name for your discount.
  • Online discount count: This is how many times the discount can be redeemed online. More on online redemption of discounts.
  • Applicable to: Specify which type of cash register items this discount can be applied to. This restriction will be overridden if you make further settings in the "Applicable to" tab.
  • Minimum amount: The discount can only be applied from a total value of this amount.
  • Gender: You can restrict the gender for redemption (examples: Mother's Day, "Movember" etc.)
  • Discount code: In case your customers can redeem the discount during online booking. More on online redemption of discounts
  • Type: "Cheaper" is recommended for discounts. The other options are special cases that are usually not applicable.
  • Discount type: Specify whether the discount is percentage-based or absolute.
  • Discount value: Set the value, for example "10" for 10% discount or "5" for 5€ absolute discount.
  • Redeemable online: Specify whether the discount can be redeemed online.
  • Appointment color: Specify whether online redeemed discounts should color the corresponding appointment.

Applicable to

You can limit which services or products your discount applies to. This allows it to be added to the cash register transaction without your employee having to pay attention to assigning it to only a specific item.
Attention: If you only want to restrict whether the discount is generally only applicable to services or products, you can do this in the "Settings" tab described above.

When creating restrictions, you can choose from various options.

Click on the following options to learn more:



Everything
This discount can be redeemed for all products, services and vouchers. Your employees must be careful when processing to apply the discount correctly.

Individual services / products

Example of use:
You have introduced a new service that you want to offer at a discount for trial. If a customer purchases additional services or products in addition to this service, these will not be discounted.

Select this option and then search for a single service, a specific product or a specific voucher template.



Individual group

Example of use:
You have introduced a new service group that you want to offer at a discount for trial. If a customer purchases services from this group as well as other services or products, these will not be discounted.

Select this option and then search for a single service, product or voucher group.



Products from a manufacturer

Example of use:
The cash register transaction contains both some services and several products from different manufacturers. Your special offer includes 10% off all products from a specific manufacturer. You can add the correspondingly limited discount to the cash register transaction with one click to quickly and easily discount all products from this manufacturer, but not the other products or the booked services.

To set up your discount for only a specific product manufacturer, you can do it as follows:

Time restrictions

You can also limit the redemption of a discount to a specific time period. This can apply to both redemption in the cash register and redemption by the customer in online booking.


Example of use:
You offer a special service that is only valid for appointments in April. However, the service including the discount can be booked as early as February - as long as the selected appointment is in April.

Table columns

In your customer overview, you can see a table with important data for each displayed customer. You can customize this table yourself and define exactly which data you want to display in the overview.

You can access this area via Settings > Customer Settings
If this function is not enabled, it can be activated via "Settings > Add Function".

Define table columns yourself

If you want to customize this table, you can set up your own columns. In the customer settings, you will find the option to create custom columns and a freely definable order. The default settings will be completely overridden.

The basis for the table columns is your customer fields. For each customer field you have created, you can also create your own column.

Example use case:
You want to display your customers' postal codes directly in the overview so you can sort customers by residential areas. To do this, first create the customer field "Postal Code" and then create the table column "Postal Code".
You can use the table columns to filter your customers in order to subsequently contact or export selected customer groups. Learn how to filter selected customer groups here

Card tabs

You can add custom customer fields to each customer file. You can organize these in tabs to make all information clearly arranged in each customer file.

You can access this area via Settings > Advanced Customer File
If this function is not activated, it can be activated via "Settings > Add Function".

Create tabs

Before you can organize individual customer fields into tabs, you must first create the corresponding tabs. Use the +Tab button to create a new tab. Then you can assign the desired tab to each customer field.

Organize customer fields into tabs

To add a customer field to a tab, go to the desired customer field in the "Advanced Customer File" function or create a new customer field using the + Customer Field button.
Here you can select the tab to which the customer field should be assigned. Customer fields that are not assigned to a tab appear on the main page of the customer file.

Service Schedule Settings Overview

In the shift planning settings, you can activate various functions and customize the shift plan to your needs.

You can access this area via
Shift Plan > Settings (top right).

In the shift planning settings, you can activate the following functions:

Vacation
Administrators are informed and can accept/reject absences. This option allows employees to not independently enter vacations; instead, they must first be accepted by the administrators of your business. The employee without administrator rights can only create vacation requests. Please note that vacation for online booking is only accepted once the administrator has approved the vacation.

Edit working hours
Team members can edit their own working hours even without Employee rights. This option allows employees who should not have scheduling rights to still edit their own working hours.

Edit absences
Team members can edit their own absences even without Employee rights. This option allows employees who should not have scheduling rights to still edit their own working hours.

Breaks
If you use Shift plan exports, legally required break times can be automatically added to exports:

  • If working time exceeds 6 hours, a 30-minute break is automatically deducted.
  • If working time exceeds 9 hours, a 45-minute break is automatically deducted.

Events
So-called setup times are considered Events. If you use events in the shift plan, you can specify here that these should be counted as working time and not as break time.

Application example:
Your employees start at nine in the morning, but must first spend 15 minutes preparing and cannot yet receive customers. These preparation times can be entered in the shift plan and easily carried forward in the shift schedules.
Alternative solution: Instead of permanently entering preparation in the shift plan, you can also automatically assign preparation time to appointments and services. This is blocked directly before the respective appointment without you having to manually maintain events.

Number of shifts
If you plan work shifts directly in the calendar, you can use this function to keep track of how many shifts have already been scheduled for individual employees.

General Settings

Here you can change the general settings of online booking.

In the appointment availability, you can set that your customers cannot book every free appointment when booking, but for example only adjacent appointments are available.

Gallery

Attention: This function is currently not supported.

The gallery images in Settings/Location Management/Images show the images that appear in the optionally bookable app. Here you can present many aspects of your business and give customers a comprehensive impression.

Delete Task

Option 1 (for current tasks): Clicking on the red symbol aufgabelöschen deletes the task.

Option 2 (for already completed tasks): Clicking on the task text opens the comment field. At the bottom left is the "Delete task" button. With this confirmation, the task and all comments are deleted.
