Customer filter for newsletter

With Belbo you can send newsletters to your customers. If you only want to reach certain customer groups, you can narrow down the recipient list according to specific criteria.



Newsletter for customers with appointments in a specific time period

If you only want to contact customers who have an appointment within a specific time period, you can narrow it down as follows:

  1. Click on "Customers" in the main menu to open the customer overview.
  2. Click on "last appointment" in the table header, a dialog box will open.
  3. Enter the desired date range and click "Activate filter". It is also possible to leave one of the date fields blank if you want to contact all customers until or from a specific date.

Your customer list will then show only those customers with an appointment in the desired time period.

  1. Here you can click the "Contact customers" button to create a campaign for only the filtered customers. This button is located in the footer area of the page.

In the following dialog box you can create the campaign.

  1. Set the type (recommended: "Mailing")
  2. Assign an internal name for the campaign. Your customers won't see this, but it allows you to find the campaign in your marketing module.
  3. The estimated number of recipients shows the number of customers who would receive the campaign.


The number of recipients seems smaller than expected.
The number of recipients depends on other factors:

  • An email address must be entered in the email field in the customer record.
  • The marketing approval must be set. You may only contact customers who have explicitly consented to receive promotional emails.

After clicking "Save", the dialog for creating a newsletter opens. You can set a design and proceed as described here.

Optional: Treatment filter

To only reach customers who have received a specific treatment within a time period, you can set an additional filter:

With this setting, only those customers who have used this service at some point are selected. If additional filters are set, this filter is combined accordingly.

Send Online Booking Invitation

Introducing online booking for customers is an event where you can draw attention to your business and demonstrate your ability to innovate. If you already have existing customers in your customer database and therefore have email addresses, you can use this opportunity to send an email to all customers.

The advantage: These customers don't just receive a normal email with information, but immediately get the opportunity to complete the registration of their online booking account with one click and set a password. This way they can benefit from online bookings from day one and have no duplicates in the customer database - because the registration profiles are linked to the corresponding customer record.

Set up online booking campaign

Note: We need to activate the marketing consent of your customers once after the customer import. If you therefore have too few recipients in your campaign, please contact us via chat, email or phone.

1. Click on Customers in the navigation bar and then select the Marketing Functions module in the top right.

2. You now see all your campaign drafts that you have prepared. To start a new campaign, click on the Create New Campaign button.

3. Assign a title (also visible to your customers, for example You can book appointments with us again), which will help you distinguish the campaign. Choose which customers the campaign should be sent to. You can select multiple statuses by holding down the Ctrl / cmd key. In the normal case, you can simply leave All Customers selected.

For campaign Type, select Online Booking Invitation. In the background, hairlist now searches all customers for valid email addresses and filters out duplicates. When the window closes automatically, this process is complete. Now click on the newly created title to edit the emails and then go to the Design tab.

There you can now write a short text. For example, write:

Dear Customers, last week our online booking system and customer database fell victim to a virus. It encrypted all data, which is why we have taken action. But we immediately implemented a new booking system from a Swiss startup, which was developed by top IT specialists and is also used by large corporations.

You can now book appointments again and don't even have to register once. Because we were allowed to serve you in the past, you can simply complete the registration of your online booking account with one click on the following button.

We look forward to seeing you!

If your customers have been entered correctly and the names are right, you can also address your customers personally and use placeholders. The placeholders are then applied individually according to the message recipient. They allow you to address each customer personally by first and last name, for example. Important: Placeholders only work with the Google Chrome browser.

  • Salutation Mr. / Ms.: depending on the customer, Mr. or Ms. will be used
  • Formal salutation (Dear Sir / Dear Madam…): will be replaced with Dear Ms. Smith or Dear Mr. Johnson. So the last names are already included in this placeholder!
  • Friendly salutation (Hi / Hello…): will be replaced with Hi Ms. Sarah Smith or Hello Mr. John Johnson. So first and last names are already included in this placeholder!
  • First name: will be replaced with just the first name alone (if you for example write "HI" or "HELLO" or Good Morning before and don't use one of our salutations)
  • Last name: will be replaced with just the last name alone (if you for example write "Hello First Name" before and don't use one of our salutations)

Click on Save and test the appearance by sending yourself a Test Message. This will be sent to the email address you are logged in with.

If the email looks good to you, you can start sending the campaign to all your customers under the General tab and Send Invitations. Your emails will now be passed on to our provider and queued. It may therefore take a few hours before all emails are sent. You can always check the status again and see when the campaign was successfully sent.

Marketing functions: Newsletter and Round SMS

With newsletters and round SMS you can reach all your customers for whom the corresponding contact data is stored in the customer file.

You can access this area via Customers > Marketing functions
If this function is not activated, it can be activated via "Settings > Add function".

Important prerequisite for sending campaigns

Only customers who have the corresponding options activated in their customer files will receive marketing emails and SMS campaigns. Reminder and confirmation emails are not affected by this.

Create a campaign

To create a new campaign, click "Create new campaign" and fill in the following fields. When you save, the basic structure of the campaign will be created first and nothing will be sent yet.

Prepare campaign

    • The campaign name is internal and will not be seen by customers. It helps you and your team identify and assign open campaigns.
    • The type determines what kind of campaign you want to send. Learn more about the different types at the end of this article.
    • The recipient selection allows you to assign the new campaign to specific target groups. It is possible to select multiple customer statuses
    • The gender filter allows you to address only women or men. If you do not select a gender, the campaign will be sent to customers of any gender.


Select design

Then select a suitable design for your campaign. Attention: The "Standard" template only offers a header image and a text field. If you want to design the newsletter freely, select "Simple" or another design template.

Now you can open your new campaign and edit text, design and attachments.

Once you have selected a design, you can change the existing text and images by clicking on the individual elements.

Add elements
If you want to add more elements such as text blocks, images or booking buttons to the design, you can click the "+ Add element" button. Then you can select from the available elements. Different designs may also have different elements.


Edit colors

In the header of the email template preview, you can change the colors of text or backgrounds throughout the email. For example, if you click on the "Text" color button, all body text in the design will be changed.

You can change the color of an individual element by clicking on it (for text and buttons). The color of backgrounds can only be changed via the color buttons at the top of the preview.


Campaign types

Info mail
Design an email newsletter for the desired customer group. Sending an email newsletter costs 0.5 cents per recipient. If an email address is registered twice, only one email will be sent.
Online booking invitation
If you want to invite all customers to book online, you can send an online booking invitation. In addition to your text, this email type contains a link where your customers can register directly and book an appointment.
SMS
Compose an SMS that you can send to all your customers with a registered mobile number. Sending a round SMS costs 10 cents per SMS sent. Please make sure not to use more than 160 characters! More information on round SMS can be found here.
Direct message to app users (iOS)
If you offer the Belbo customer app, you can send iOS users a free direct message that will be sent directly to their smartphone. Users must have allowed the app to display such messages.
After saving your campaign, you can send yourself a test email or SMS to see how this message will look in the customer's mailbox or on their phone. Once you are satisfied, you can start sending under "General". The Status menu item shows you which customers this campaign has already been sent to. Please note that it may take some time for all messages to be sent. This depends on how many messages you are sending and potentially other Belbo users sending messages during this period.

Costs are incurred when sending SMS campaigns. These will be displayed transparently to you before sending. Only when you start the send and the campaign is sent will these costs be charged.

Marketing Functions

With the marketing functions, you can send your own newsletters or bulk SMS messages to your customers.


You can access this area via Settings > Marketing.

Send occasion-based or regular newsletters to your customers.

Automatic emails
Send automatic birthday greetings or messages on a specific day after a customer's last appointment.

Application example:
You want to encourage customers who haven't visited you in 3 months to book a new appointment at your business. For this purpose, compose an automatic email with a friendly invitation that is automatically sent to each customer as soon as they haven't had an appointment with you for 3 months.

Ratings
You can send each customer an automatic rating request after their appointment on your online booking page or for your own quality assurance.

You can publish news in the Belbo customer app and on your online booking page.

Please note that your customers must be enabled for marketing functions. You will find a corresponding option for SMS and email messages in each customer record. Only customers who have this option enabled in their customer record will receive marketing messages.



Past Campaigns

Here you can see a list of your past campaigns. You can also use the campaigns again as templates for new ones.

Current Campaigns

Here you can manage your marketing campaigns via SMS or email. You can use it to communicate new services or products, special events or open house days, etc.
You can also decide whether all customers receive these messages or only specific ones.
Please note that additional costs will be incurred when using this feature (2 cents / email).

Send Round-Robin SMS

Sending a bulk SMS (to all your customers or many at once) costs 10 cents per SMS sent.

Go to the Marketing functions (to the right of Customers) and select "Create Campaign". First, you can enter an internal name here and must select the type "Bulk SMS".

You then have the option to edit the campaign and prepare the text. To do this, go to the campaign and select "Design". Test your SMS by selecting the corresponding link. You will then receive an SMS at your stored mobile number.

Once you have prepared everything, you can click "Start Sending" in the "General" tab. Sending usually takes 1 minute per 50 SMS.
