Product Shop

With Belbo, you can create an online product shop so that your customers can purchase products online. This way, you generate additional revenue and offer your customers great added value.

You can access this area via Settings > Product Shop
If this feature is not activated, it can be enabled via "Settings > Add Feature".

Requirements for the Online Product Shop

The following settings are required to use the Belbo product shop:

  1. The products to be sold have been created. You can create your products under Settings > Prices & Skills > Products.
  2. The stock is maintained. In the product shop, your customers can only purchase products that are in stock according to your inventory.
  3. Your online payment is fully set up. An active Stripe or Paypal merchant account is set up under Settings > Online Payment.

    Setting Up the Product Shop

    1.) Activation

    Activate the product shop under "Settings" by entering the term "Product Shop" in the search field at the top of the page or by clicking the "Add Feature" button.

    2.) Configure Settings

    • Shop Preview: Click the preview button to go directly to your shop. Once set up, you can share this link on your website or on social media to draw your customers' attention to it.
    • Introductory Text: Create an introductory text for your product shop.
    • Shipping Method: Choose whether you want to ship your products to your customers or have them pick up the products at your store.
    • Payment / Shipping Costs: Depending on the shipping method you have chosen, you can set the shipping costs here or specify whether the customer can also pay on-site.
    • Permitted Countries: Specify here which countries you can ship your products to.

    3.) Select Products

    Then select the products you want to sell online by checking the corresponding boxes:

    4.) Edit Email Text

    A confirmation email is sent to the customer upon a product sale. This can be customized under Settings » Product Shop » Confirmation. If applicable, address any special circumstances here, such as your opening hours in the case of self-pickup.

    Images and Description Texts for Your Products

    You can add images and text to each of your products to explain the product in more detail.

    To add a product description for your customers, you can click on the desired product under "Product List" and add the text under "detailed description".

    During booking, the customer can get information about the product directly.

    To make it easier for the customer to select a product they may already be familiar with, or to give them an idea of the form of presentation, you can add an image to the product.



    In addition to your website and social media, you can also link the shop on your online booking page. The footer and the information page are particularly well suited for this.

    Please note: The product shop was developed very quickly for you as part of the coronavirus-related lockdown, in order to provide you with an additional source of income and give you the opportunity to strengthen customer loyalty even while your business was closed.
    As a manufacturer of online booking calendars and point-of-sale systems, however, we cannot offer the full range of features found in well-known shop systems. We are constantly developing Belbo further, but we ask for your understanding that we will not be developing the product shop based on the model of other shop systems.

Product Export

There are various options available for exporting your current inventory. The simplest is to perform a so-called product export.

To perform the product export, you need to do the following:

  • Select Settings
  • Select Prices & Competencies
  • Click Options in the top right
  • Click "Export Product List"

You will then receive an export of your current inventory. If you need inventory for specific time periods, you can export these using the "Inventory" function.

Um ein Produkt zum Kassiervorgang hinzuzufügen, haben Sie 3 Möglichkeiten:

  • Manuell auswählen: Wählen Sie die + Produkt-Schaltfläche, um ein Produkt hinzuzufügen.
  • Suchen: Nutzen Sie die Suchbox, um nach dem Produktnamen zu suchen.
  • Scannen: Klicken Sie in die Suchbox und scannen Sie den Barcode des Produkts, um das Produkt hinzuzufügen.

Folgen Sie dann den Schritten unter Abkassieren ab Schritt 6.

Product Import

You can manually add products to your Belbo calendar at any time. However, if you want to add a large number of products to your Belbo calendar, you can also import them.

You can access this area via Settings > Import Center > Products.

Note: Product import is technically demanding. If you wish, we can handle the import for a fee. Simply contact us.

Your import data must be in Excel or CSV format. Many manufacturers provide detailed lists. Please make sure that all required columns are included in your import.

Required columns:

  • Product category
  • Product name
  • Sales price

Examples of additional importable columns:

  • Description
  • Up to 2 barcodes for scanning products
  • Stock
  • Target stock for orders
  • Purchase price
  • Tax rate
  • Article number

Import Process

  1. Click on Import Center in the top right of the Settings page and switch to the "Products" tab.
  2. Create a new import job using the "Create Import Process" button.
  3. Select your file to upload and wait for the process to complete.
  4. The detected data will then be displayed. Here you can assign the columns in your export to the field names of your online calendar products in the table header.
  5. If your product file is already filled, you can use the following step to avoid duplicates: Here you can select fields if needed that serve for precise assignment of existing products. If existing products match completely in these fields, all other fields will be overwritten by the values from the export. Warning: Use unique column combinations so that no duplicates are created on one hand and no products are overwritten with incorrect information on the other hand.
  6. Start the import process. This process may take some time depending on the number of products. You can close the window in the meantime.

Import Price Changes

If you only want to change the prices of your products, you can re-import the products. The article number is used for matching. If a product with the same article number already exists, it will not be created anew, but only the price will be adjusted. This makes price changes easy to import.

Products: Properties

In the product properties, you can make detailed specifications for the product.

You can access this area via
Settings > Prices & Services > Products > Click on Product > Properties.

Color
You can assign a custom color to the product to identify it more quickly.

Barcode
With the help of a barcode, you can scan products and save valuable time during the checkout process. Most product manufacturers offer data sets in which the product barcodes are already listed.

You can also add it manually by either clicking on the barcode field and scanning the product, or you can enter the numeric code below the barcode into the field.

Article Number
If you want to enter the article number of the product, enter it in the Article Number field of the product properties.

Product Manufacturer
If you assign a manufacturer to each product, you can sort your products in the overview by manufacturer.


Target Stock
If you set a target stock level, you can see in the product overview whether it has fallen below this level and the product should be reordered.

External URL for Description
You can specify the address of a website where more detailed information about the product is available.

Requires a voucher entry at the end of the booking.
If you want the product to only be saleable in conjunction with a voucher, activate this function.

Products: Price

You can set the purchase and selling prices as well as the VAT for each product. These prices are used in the checkout process.

When creating a product, you can already specify the product price. If you want to change this price, select the desired product in the product overview and go to the Price submenu.

Product groups

Your products are organized into clearly structured product groups. If you specify the manufacturer for a product group, you can sort your products by manufacturer.

You can access this area via Settings > Prices & Services > Products.

To create a new product group, click the + Create new product group button at the end of the product overview.

Add new product and edit

Create products so you can sell them in the checkout process.

Tip: If you want to add a large number of products, you can use the CSV import or scan your products.

To create a product, first select the product group or create the desired product group. Then select + Add New Product and enter the data.

Edit Products

To edit a product – for example to change the inventory or price – click on the desired product in the product overview.

You can edit the following properties:

Products: Description

In the product description you can create the name and description of a product.

You can access this area via Settings > Services > Products.

Enter the full name of your product. You can find the product by name during the checkout process.
