Everything about: Online Booking

Performance can only be booked by telephone

If you offer services that require explanation or are complex, and customers are only allowed to book them after telephone consultation, you can set this up. Customers will see this service in the online booking and learn that you offer it. However, the service can only be booked by telephone.

You can access this area via Settings > Prices & Competencies > Click on the desired service

In the desired service, you can activate the appropriate option under "Online Booking":

This service continues to be displayed in the online booking, but it is not bookable online and is displayed with a note that you must call to book this service:

Landing Pages

Create landing pages with specific offers that you can use for your marketing campaigns.

Application example:
You want to target new customers and plan a campaign on social media for this purpose. The new customers you address should be able to book some selected services at a particularly attractive price. Existing customers should continue to use the normal booking process with the unreduced prices.
You can access this area via Settings > Landing Pages
If this function is not enabled, it can be activated via "Settings > Add Function".

If you want to launch targeted marketing campaigns for specific services, you can define landing pages here on which only the services included in the campaign are offered. Your normal online booking page remains unaffected and continues to behave as usual.

Create landing page

Go to the "Landing Pages" module under Settings or activate this function under "Add Function".

Click on + Landing Page to create a new landing page.


Name
Your name for this campaign to distinguish between different landing pages. The name will also be displayed to the customer in the title of the landing page.

Date limitation
If you want your landing page to be accessible only from a certain date, or only until a certain date, you can enter start and/or end dates here. If you leave the corresponding fields empty, there is no time limitation and the landing page will be accessible until you delete it again.

URL
This is the Belbo web address under which your landing page will be accessible later. If your Belbo address is "https://mycompany.belbo.com", your landing page will later be found at "https://mycompany.belbo.com/l/newcustomers". You can also find this link on the overview page of your already created landing pages:

By clicking on the link shown here, you will be taken directly to your landing page. You can also use this URL in your marketing activities to link to the page.


Staff member
If you want this marketing campaign to be bookable only with a specific staff member, you can set this here.
Attention: Please make sure that this staff member is also entered in the competency settings of the selected services.

Add services

Click on the name of the already created landing page to add services to the page.

Customers can then select this service on the landing page and book an appointment.

Evaluation

On the Landing Pages overview, you can see how many bookings were made through your landing page.

In each landing page you can also see the details of each booking:

Tip: To evaluate the number of new customers acquired, you can activate the "Daily Statistics" module.

Online Booking URL

You can create your own booking link for each service you set up in Belbo. This service becomes directly bookable. When a customer clicks on the link, she lands in the part of the online booking where she only needs to select the date and time for this service and is not confronted with any other services.


Example of use:
You are introducing a new service and want to motivate your customers to try it out. You publish a Facebook post describing the benefits of the service. If you publish the direct online booking URL in this post, interested customers can then immediately select a date and time for this service without potentially being distracted by your other offerings and changing their minds as a result.


You can access this area via Settings > Prices & Skills > Click on the desired service

If you are planning a campaign in which more than one service is to be promoted, we recommend the "Landing Pages" feature.



Find the online booking URL

You will find the online booking URL in every service you have set up in Belbo.

  1. Under "Settings" click on "Prices and Skills" on the service you want to link directly to.
  2. Click on Options > Online Booking URL to display it.
  3. Copy the link or entire content and share it or forward it to your design agency.


So for example, if you want to promote the service "Summer Special" on your website or social media, you can use this link.

The complete text that is displayed to you already contains a hyperlink and can be inserted directly on a website. However, if you want to promote the service on social media, for example, copy only the text portion that is highlighted in the following image:

Link all services at a specific location

If you have multiple locations in the same account in Belbo, customers can first decide which location they want to book at on your online booking page. However, if you want to specifically link individual locations without your customers seeing the other locations, you can also find this URL via the direct booking link of a service:

  1. Under "Settings" click on "Prices and Skills" on any service.
  2. Click on Options > Online Booking URL to display it.
  3. Copy only the text portion that is highlighted in the following image, i.e. up to before the 1st question mark:

Finden Sie Ihre eigene Online-Buchungs-URL heraus

Die Online-Buchung Ihres Kalenders finden Sie unter einem ähnlichen Link wie Ihren Kalender. Die URL Ihres Kalenders sieht folgendermaßen aus, wobei der mittlere Teil der Name Ihres Unternehmens ist:

https://meinunternehmen.belbo.com/office

Die URL Ihrer Online-Buchung ergibt sich daraus. Es gibt jedoch verschiedene Möglichkeiten, diese einzubinden:

Buchung mit vorheriger Anmeldung

Dies ist sinnvoll, wenn Kunden Ihre Dienstleistungen und verfügbare Termine vor der Anmeldung nicht sehen sollen. Die URL, die Sie zum Verlinken verwenden können, ist:

https://meinunternehmen.belbo.com

Also die Kalender-URL bis einschließlich .com.

Buchung ohne vorherige Anmeldung

Dies ist geeignet, wenn Ihre Kunden bereits die gewünschten Dienstleistungen und möglicherweise ein gewünschtes Datum auswählen dürfen und sich erst dann anmelden oder Ihre Daten hinterlassen müssen. Die URL, die Sie zum Verlinken verwenden können, ist:

https://meinunternehmen.belbo.com/termin

Also die Kalender-URL mit /termin statt /office.

Buchungslink in die Website einbinden

Je nachdem, auf welchem System Ihre Online-Buchung basiert, gibt es verschiedene Möglichkeiten, die Buchung zu verlinken. Wir empfehlen eine oder mehrere der folgenden:

  • Eigener Menüpunkt, zum Beispiel "Termin buchen" im Hauptmenü, der auf die Online-Buchungsseite als Linkziel verweist.
  • Schaltfläche in der Seitenleiste oder in der Fußzeile der Website.
  • Schaltfläche auf der Kontaktseite - im Kontext von oder statt der Telefonnummer.
  • Link zu der Seite, auf der Sie Ihre Dienstleistungen präsentieren.

Falls Ihr Website-Manager keine eigenen Integrations-Schaltflächen anbietet, können Sie hier eigene Grafiken erstellen, die Sie einbinden können.

Buchung direkt integrieren

Wenn Sie möchten, können Sie die Online-Buchungsseite auch in Ihre Website integrieren.
Bitte beachten Sie, dass dies von Ihrem Webmaster durchgeführt werden sollte, da nur eine professionelle Einbettung die Funktionalität gewährleistet.

Insert online booking on your website

If you have a website, it is recommended to link your online booking in appropriate places directly. This is a general guide on how to find the correct URL for your online booking. We ask for your understanding that we cannot go into detail on all website managers. If you need support with the setup, please feel free to contact us at info@Belbo.com.

Find your own online booking URL

Your calendar's online booking can be found under a very similar link as your calendar.



Your calendar's URL looks roughly like this, where the middle part is the name of your company:

https://meinunternehmen.Belbo.com/office

Your online booking URL is derived from this. However, there are different ways to integrate it:

Booking with prior login

This is suitable if customers should not see your services and possibly available appointments before logging in. The URL you can use for linking is:

https://meinunternehmen.Belbo.com

So the calendar URL up to and including .com.

Booking without prior login

This is suitable if your customers are allowed to first select the desired services and possibly a preferred appointment time and only then have to log in or leave their data. The URL you can use for linking is:

https://meinunternehmen.Belbo.com/termin

So the calendar URL with /termin instead of /office.

Under Settings > Online Booking you can specify whether the customer is prompted to log in after selecting the service or only for data entry (name, gender, email address, mobile phone number).

Integrate booking link into your website

Depending on what system your online booking is built on, there are different ways to link the booking. We recommend one or more of the following options:

  • Own menu item, for example "Book Appointment" in the main menu, which points to the online booking page as a link target.
  • Button in the sidebar or footer of your website.
  • Button on the contact page – in context with or instead of the phone number.
  • Link on the page where you present your services.

If your website manager does not offer custom buttons for integration, you can create your own graphics here which you can integrate.

Integrate booking directly (not recommended!)


Booking via an iFrame works exclusively without customer login and is therefore explicitly not recommended! This is for technical reasons over which we have no control.

If you wish, you can also integrate the online booking page into your website.
Please note that this should be done by your webmaster, as only professional integration ensures functionality.

Please note that the "meinunternehmen" part in the code must be replaced with your own name component (see above "Find your own online booking URL").

Google My Business Booking Link

If you want your business to be found on Google, it makes sense to create a Google My Business listing. This way, customers can get more information directly on the search results page and also book an appointment with you right away.

Prerequisites

You must have a Google account to create a My Business listing. You can then create a free listing for your business on the https://www.google.com/intl/de_de/business/ page. To ensure that it is a real location, Google will send you a postcard with a code. After you have added this code to your My Business listing, the listing will be published.

Setting up the booking link

To enter the link to your online booking page, you can log in at the address mentioned above and add the web address of your online booking page under "Info".

After that, customers who find your business during a Google search can immediately book appointments.

It may happen that the interface of your Google Business listing does not look like in our example. This is because Google is gradually enabling this feature for different industries. Unfortunately, we cannot provide you with further information here. Please contact Google Support in this case.

Setting up a Facebook Booking Link

If you've created a Facebook page for your business, you can link your online booking there. This gives existing and new customers who see your offers on Facebook the immediate opportunity to book a corresponding appointment at your business.

Add booking to the header of your Facebook page

Facebook gives you the option to insert a prominent button directly in the upper area of your page:

Click the button to add it. You can then specify what action you want your users to take with the button. Choose either "Sign Up" or "Contact Us".

Now you can determine which type of booking you want to integrate. Since the Belbo online booking page is an external website, select this option. Then enter the link to your own booking page (shown as an example in the image).

After saving, your users can access your online booking directly from Facebook.

Any Employee

If you want to give your customers the option to find an appointment at their preferred time without having to choose a specific employee, activate this feature.

You can access this area via
Settings > Online Booking > Basic Settings > Any Employee

In Online Booking

When this feature is enabled, your customers will be offered a corresponding button in online booking. This displays the next available appointment with an employee who can perform the selected service.

In the subsequent step, the customer is shown which employee was selected by the system.

Edit Settings

Under Settings > Online Booking > Basic Settings > Any Employee you can edit this function.

  • Coloring: Appointments booked by customers via the "Any Employee" button can be color-coded so your team recognizes that these appointments can be moved to less booked time slots. Please note that the appointment color can depend on many other factors and certain colors may already have a different meaning. More on appointment colors can be found here.
  • Button Label: If you want to change the label of the button in online booking, you can override it using the text field. Please keep the text short.
  • Prefer any employee: In rare cases, it makes sense to select this option.

Define Available Employees

In each employee profile you can specify whether an employee is available when the customer uses the "Any Employee" button.

Our recommendations:

  • Highly booked employees should not be available through this feature.
  • New and poorly booked employees should be available through this feature.
  • It may make sense to make certain employees available exclusively through this feature, such as apprentices or temporary staff.
To define how your available employees should be prioritized for this type of booking, you can use the "Any Employee Prioritization" feature.

Online Booking Settings: Information Page

If you would like to inform your customers about important news or store important general information in the online booking, you can do so using the information page.

You can access this area via Settings > Online Booking > Design > Information Page
If this function is not activated, it can be activated via "Settings > Add Function".

Setting up the information page

To draw your customers' attention to important information, you can write a short text and insert it under Settings > Online Booking > Design > Information Page. This way, your customers will see this information in the header area of the online booking.

Online Booking Settings: CSS

In the CSS settings, you can add your own stylesheets to your online booking page. Attention: Please make sure that you are proficient in working with CSS, or contact your web design agency.

If this feature is not enabled, it can be activated via "Settings > Add Feature".
