Online Booking URL

You can create your own booking link for each service you set up in Belbo. This service becomes directly bookable. When a customer clicks on the link, she lands in the part of the online booking where she only needs to select the date and time for this service and is not confronted with any other services.


Example of use:
You are introducing a new service and want to motivate your customers to try it out. You publish a Facebook post describing the benefits of the service. If you publish the direct online booking URL in this post, interested customers can then immediately select a date and time for this service without potentially being distracted by your other offerings and changing their minds as a result.


You can access this area via Settings > Prices & Skills > Click on the desired service

If you are planning a campaign in which more than one service is to be promoted, we recommend the "Landing Pages" feature.



Find the online booking URL

You will find the online booking URL in every service you have set up in Belbo.

  1. Under "Settings" click on "Prices and Skills" on the service you want to link directly to.
  2. Click on Options > Online Booking URL to display it.
  3. Copy the link or entire content and share it or forward it to your design agency.


So for example, if you want to promote the service "Summer Special" on your website or social media, you can use this link.

The complete text that is displayed to you already contains a hyperlink and can be inserted directly on a website. However, if you want to promote the service on social media, for example, copy only the text portion that is highlighted in the following image:

Link all services at a specific location

If you have multiple locations in the same account in Belbo, customers can first decide which location they want to book at on your online booking page. However, if you want to specifically link individual locations without your customers seeing the other locations, you can also find this URL via the direct booking link of a service:

  1. Under "Settings" click on "Prices and Skills" on any service.
  2. Click on Options > Online Booking URL to display it.
  3. Copy only the text portion that is highlighted in the following image, i.e. up to before the 1st question mark:

Any Employee

If you want to give your customers the option to find an appointment at their preferred time without having to choose a specific employee, activate this feature.

You can access this area via
Settings > Online Booking > Basic Settings > Any Employee

In Online Booking

When this feature is enabled, your customers will be offered a corresponding button in online booking. This displays the next available appointment with an employee who can perform the selected service.

In the subsequent step, the customer is shown which employee was selected by the system.

Edit Settings

Under Settings > Online Booking > Basic Settings > Any Employee you can edit this function.

  • Coloring: Appointments booked by customers via the "Any Employee" button can be color-coded so your team recognizes that these appointments can be moved to less booked time slots. Please note that the appointment color can depend on many other factors and certain colors may already have a different meaning. More on appointment colors can be found here.
  • Button Label: If you want to change the label of the button in online booking, you can override it using the text field. Please keep the text short.
  • Prefer any employee: In rare cases, it makes sense to select this option.

Define Available Employees

In each employee profile you can specify whether an employee is available when the customer uses the "Any Employee" button.

Our recommendations:

  • Highly booked employees should not be available through this feature.
  • New and poorly booked employees should be available through this feature.
  • It may make sense to make certain employees available exclusively through this feature, such as apprentices or temporary staff.
To define how your available employees should be prioritized for this type of booking, you can use the "Any Employee Prioritization" feature.

Online Booking Settings: CSS

In the CSS settings, you can add your own stylesheets to your online booking page. Attention: Please make sure that you are proficient in working with CSS, or contact your web design agency.

You can access this area via Settings > Online Booking > Design > CSS
If this feature is not enabled, it can be activated via "Settings > Add Feature".

Minimum age

If you offer services that require a minimum age, you can set this for each service.

You can access this area via Settings > Minimum Age
If this function is not activated, it can be activated via "Settings > Add Function".

Manage Minimum Age

To set the minimum age for certain services, after activating this function, you can set the minimum age in each service.

In the overview, you can see which of your services you have set a minimum age for.


Set Minimum Age
Click on the service in the overview to which you want to assign a minimum age. In the "Online Booking" submenu, you can enter the minimum age. If it is set to "0", the customer will not be asked to confirm their age.

Booking App for Your Customers

Offer your customers their own smartphone app! This way you're always present on your customers' favorite device that's heavily used. Publish news and information about your business and give your customers the opportunity to book appointments independently. This means service for the customer and relief for your team.

Belbo itself does not create apps for your customers! We work with AppYourself. The Belbo online booking can be integrated into the AppYourself app.

Selection of multiple employees in online booking

If you offer services that can be performed by multiple employees, you can allow customers to select more than one employee online as well.

You can access this area via Settings > Select Multiple Employees
If this function is not enabled, it can be activated via "Settings > Add Function".
Use case example:
You offer both waxing and manicure. A customer who books both services in one appointment can choose a different favorite employee for each of these services.

Setting up multiple selection

As long as services are booked that are in the same booking group, the customer cannot make their own selection. In this case, the same employee always performs all booked services. Those service combinations where your customers are allowed to select their favorite employee for each individual service must therefore be in different booking groups.

Under Settings > Prices & Competencies in the "Competencies" tab, you can set up the groups:

Use case example according to settings in the image above:

  • If the customer books the services "Spring Special" and "Men Complete", they can only select one employee who performs both services. Both services are in the same group.
  • If the customer books the services "Spring Special" and "Deluxe Treatment", they can select a different employee for each of the two services. The services are in different groups.

In online booking, the customer can choose between employees who can each perform the services:

Important: If you offer services that have no competency overlaps, they must be in different booking groups so that different employees can be suggested.

Online Booking Overview

With Belbo Online Booking, you can give your customers the option to book appointments themselves at any time. You have very precise control options for how and when your customers can book these appointments. This allows you to customize online booking to suit your preferences. Everything is possible, from "Every customer may book all services at any time, even without logging in" to "Only regular customers selected by me may book certain services on certain days".

Your personal Belbo Online Booking

Every Belbo calendar always has an online booking page. You can find it at the web address where your calendar is also located. However, the address of the online booking page ends after the .com. If your calendar has the address
meinkalender.belbo.com/office
then you will find your online booking at
meinkalender.belbo.com.

Example of an online booking page:

Your customers can only book those services that you have explicitly released for online booking. Customers also never have direct insight into your calendar, but only receive suggested times for still available appointments. Simply log in with your existing login credentials and book an appointment to see how online booking works for your customers.

Linking online booking on your website

We recommend prominently displaying your online booking on your website. We have created a collection of various buttons that you can download and embed on your website. Of course, you can also use your own designs.

Online payment and your own voucher shop

If you wish, your customers can pay for booked services immediately online. You can choose from various payment options:

  • Offer credit cards, SofortÜberweisung, Apple Pay, and Google Pay
  • Offer PayPal

If you offer your own voucher shop, your customers can purchase vouchers directly from you online and pay with the payment methods mentioned above. This way, you give your customers the opportunity to spontaneously buy nice gifts, and you expand your customer base.

Online Booking Settings: Appointment Highlighting

If you offer special appointments on certain days, you can mark these times with color.

Application example:
In your gym, customers can train on their own. However, on some days a trained back trainer is on site who can support your customers during training and answer questions. So that customers can recognize these appointments and book them specifically, you mark these times with color.

You can access this function under Settings > Online Booking > Design > Appointment Highlighting

Creating the highlighting color

First, define the highlighting color and give the highlighting a name. When the user clicks on the name label in the online booking, the longer description text appears, which you can write under Description Text.

Then define under highlighting times the days of the week and times at which the highlighting should be visible in the online booking.

Online booking for different customer groups

If you wish, you can create different online booking processes for various customer groups.

Use case example:
If you want to offer your regular customers different prices and services than your new customers, you can create different booking processes for both customer groups. When a new customer logs in, she will only see the prices and services intended for new customers.

Prerequisite for creating different booking processes

You can create a separate booking process for each customer status. Here you will learn how to create a customer status and how to assign this status to a customer.

Before you create a booking process as described in our guide, you can select a customer status.

Block online booking for specific customer groups

In each customer file you have the option to block individual customers from booking. However, if you wish, you can also exclude all customers of a specific customer status from booking.

Use case example:
You decide to permanently exclude all unreliable customers from online booking to avoid appointment cancellations. Assign all these customers a special customer status and edit the status. This way you don't have to block all customers in this group individually.

Note: Please note that your customers have the right under the General Data Protection Regulation to request all data that is stored about them. This also includes their own customer status.

Online Booking Settings: Employee Order

In the employee order, you can determine the order in which your employees are suggested to customers. The employees are initially arranged in the same order as they appear in the employee overview.
