Recommended setup sequence

If you're just getting started, we recommend the following sequence. Your account is normally already populated with demo employees, services, and appointments so you can familiarize yourself with the system beforehand.

When customers cancel an appointment that has already been paid for online, the money is not automatically refunded to the customer.

If the small business exemption applies to you, or if you have recently become subject to sales tax, you can quickly and easily change the sales tax rates for your services and products.

Use categories to define properties across product groups and manage them more effectively.

The search interface for search and detail queries must return the following fields per vehicle. For the search, at least vehicleNo must be populated, which is used at Belbo as an internal key between the DMS and belbo:

Statutory break times

As a rule, your employees are required to take a break after a certain length of working time. The duration of this break depends on the total length of the working time. If your employees take these breaks flexibly and you don't want to schedule fixed breaks in the calendar, you can set it so that this break is automatically deducted from the working time in the statistics.

Getting started with time tracking

To start time tracking, you no longer need to reset your work hour accounts to prevent missing check-ins from previous weeks from entering your balances as minus hours. If you want to deliberately set an existing balance to zero or transfer an actually existing balance from a previous recording, this is still possible via a balancing entry – year-crossing balances are not automatically transferred for this at the moment.

Gift Vouchers

Would you like to give vouchers to friends, VIPs, or employees as gifts? Then tax aspects must be considered. Various solutions are presented here. However, discuss the option with your tax office to secure the tax consequences.

Block booking of specific employees by new customers

You can set it up so that certain employees cannot be booked online by new customers. This relieves popular employees among regular customers and gives, for example, new team members the opportunity to receive more appointments.

Reschedule Prepaid Appointment

If a customer misses or cancels an appointment that has already been paid in advance, you can graciously transfer the prepaid credit to a new appointment. Depending on whether the original appointment is still on the same day or is already in the past, you proceed slightly differently.

Variant 1: On the day of the prepaid appointment

Cancel the missed appointment (see also Appointment status change to "Cancelled" – No Show).

Remove all services from the appointment and use the "Store prepayment" function (details see Prepayments for future appointments).

Enter the prepaid amount and complete the process with the payment method of the original appointment.

The stored prepayment can subsequently be redeemed at a new appointment of the customer.

Variant 2: The prepaid appointment is in the past

From an accounting perspective, past appointments can no longer be cancelled. In this case, proceed as follows:
