Team Login

If you don't work alone in your company, it makes great sense to create a separate login for your team. You can assign your own rights to this login and thus prevent all employees from having access to settings and statistics. This type of login, which is not directly linked to an employee, can be used by the entire team and is well suited if all your employees use the same computer or tablet in their daily work.


You can access this area via Settings > Employees > Rights



This type of login is also suitable for other types of employees who have access to the calendar and can enter appointments or change settings, but should not themselves appear as bookable employees in the calendar. These include, for example:

  • Owners who don't serve customers themselves
  • Marketing and sales employees who enter appointments
  • Administrative employees such as reception or office staff

Create Team Login

  1. Go to Settings > Employees > Rights
  2. Click on "Create New Login".
  3. Assign a name for the login, e.g. first name "Team", last name "Login". For administrative employees who do not share the login with colleagues, use the person's actual name.
  4. Optionally assign a secure password

    • Recommended for administrative employees: If you do not set a password, an email will be sent to the specified address with a link that leads to password selection, so the person can choose their own secure desired password.
    • Recommended for team login: If you set a password directly, no email will be sent and you can communicate the password to your team in another way.

After you have set up the login, you can then set the access rights for this login under Settings > Employees > Rights.

Access permissions for team login

After you have set up the team login, you can then set the access rights for this login under Settings > Employees > Rights. We recommend giving this login only a few rights.

Cash register rights for team login

We recommend that the team can cash appointments and complete current daily summaries. However, statistics and cash register settings remain management's responsibility.


Please do not assign a role to the team login. As soon as you assign a role, a new employee is created who is visible in the calendar. This is not necessary for the team login since all employees already have their own columns under their names.

If there are employees to whom you would like to grant additional rights, you can assign a separate login for these employees.

Identification of team members when appointments change

If all employees use the same login, it is not easy to track which team member made which changes when appointments are created and modified. We therefore recommend additionally using the employee PIN.
This allows precise identification of your employees despite sharing the same login. Additionally, with the help of the employee PIN, you can fine-tune the rights of individual employees. Learn more about the employee PIN here.

Login access restriction

If you want to prevent your employees from logging in from other devices (for example from home or a private mobile phone), you can use the login access restriction feature.

Two-factor authentication for team login

Since the team login is shared by multiple people, you can additionally secure it with two-factor authentication (2FA). Note that all people who use the team login need access to the same device with the stored authenticator app.

Create login for a team member

You can create a separate login for each team member so they can log in to the calendar from home or their mobile device, for example.


You can access this area via Settings > Staff > Click on desired staff member > Create login



Create a login for an existing team member

Click on Options » Create login in the file of the desired team member. If this team member does not yet exist, please add them first. How to create a login for a team member who should not appear in the calendar is explained further down on this page.

Follow the dialog that opens and enter the email address of the team member. This must not already exist as a login. How to link an existing login with a team member is explained further down on this page.

Set password

You have the following options to set a password for the team member:

  • Determine initial password yourself: You have the option to set the password yourself immediately. Then share this with the person who should have access to the login.
  • Send email invitation: The team member receives an email with a link and can choose a secure password of their choice.

Assign permissions

For each login, you can assign individual access rights. This ensures that the person who has access to the login can only view or change data they are authorized to access. While creating a login, you can choose from various options to make setup easier. After you have finished creating the login, you can view and edit the permissions for this login at any time under Settings > Staff > Permissions.

Enable two-factor authentication

In addition to the password, you can secure individual logins with a two-factor authentication (2FA). This protects particularly sensitive logins from unauthorized access.

Create a login for a team member who should not appear in the calendar

We explicitly recommend this type of login, which is not directly linked to a team member in the calendar, for your team login. This can be used by the entire team and is well suited if all your team members use the same computer or tablet in their daily work.

You can also create logins for a person who should not be available for booking in the calendar itself for appointment entry. This makes sense, for example, for:

  • Management who do not serve customers themselves
  • Marketing and sales personnel who enter appointments for your business
  • Administrative team members such as reception, webmaster or office staff

Already registered email address

In your Belbo calendar, each email address can only be registered once. If the team member for whom you are creating a login is already registered, a corresponding message will appear. You can view all already registered team members under Settings > Staff > Permissions.

If you still want to link the already registered email address with the team member, you can link it.


Attention: This can cause problems if the already used email address is already linked to another team member. If you are unsure, please contact us via the help chat, which you can find in your calendar.

Unlink login from a team member

The login and team member are unlinked after confirmation. The login remains usable afterward. If the login is linked to a profile at multiple locations, the other logins remain.

After unlinking, the login can be edited or deleted under Settings > Staff > Permissions.
