Marketing release in the customer file

If you want to send Belbo newsletters to your customers, you must ensure that your customers have explicitly agreed to receive newsletters.

It can happen that the recipient list of a newsletter is smaller than expected, or that customers say on request that they have not received a newsletter. In this case, it is likely that not all customers have a marketing approval.
The sending of newsletters is subject to strict legal requirements in the EU and Switzerland. We ask you to observe and comply with these. Non-compliance can result in significant fines.

Marketing approval in the customer file

In each customer file you can see whether a customer has a marketing approval. You can see this in the customer file under Messages > Notifications:

If this approval is not present, this customer will be ignored when creating marketing campaigns.

Recording the marketing approval

Online by the customer

With every online booking, your customer is asked for marketing consent. Here they can decide for themselves whether they want to receive newsletters. If a customer has agreed to this, the approval is recorded for them.

Manual recording

Customers who do not book online themselves can also grant you the approval. You can then set the checkbox in the customer file at the location shown above yourself.

Attention: We recommend that you have the customer sign a corresponding letter. If the customer complains about receiving the messages, you must prove that the customer has agreed to receive them.

The regulations on marketing approval and the sending of newsletters are legal requirements. Ignoring these can result in significant penalties.

Frequently asked questions

Can I send a message to all customers asking if they want to receive newsletters?

No, this is not possible. Sending messages to people who have not explicitly consented to receiving them is prohibited under the data protection regulations of the EU and Switzerland.

I want all my customers to receive my newsletter. Those who want to can simply unsubscribe, right?

It is true that customers can unsubscribe from your newsletter. But the initial contact with a request to unsubscribe if needed is prohibited under the data protection regulations of the EU and Switzerland.

The Belbo team also cannot grant this approval globally. We ask for your understanding in this regard.

Can Belbo provide me with a template for obtaining marketing approval in writing?

No, we are not permitted to provide legally binding advice. Please contact your data protection officer or a lawyer with appropriate expertise.
