Everything about: Calendar View & Navigation

Booking List

The booking list contains online bookings and serves you to track the latest online appointment bookings. You can jump directly from the list to the calendar or to the corresponding customer file.

You can access this area via Settings > Information > Booking List.

You can find additional statistics and reports under Information

Calendar View

This function is used for a clear presentation of different employee groups. The views are particularly suitable for very large teams or industries in which rooms, beds or equipment are to be blocked.

If many employees restrict clarity, calendar views can be used here.

You can access this area via
Settings > Calendar Groups.
If this function is not activated, it can be activated via "Add Function".

Create a new group and give it a name. For example "Rooms". The goal is to assign all rooms to the group and thus combine them. Depending on the importance of the group, you decide the size of the column and whether it should appear in the calendar view and right from the start. Then select the members of this collection column. Each individual member of this group must be clicked.

In the calendar itself you can now see the group and the employees.

Go to the group members in the employee profile and finally hide them in the calendar view. Done!

Reduce calendar columns

To reduce the calendar view, for example by closing days or absent employees, proceed as follows:

  1. In the navigation bar "Calendar", click on the small triangle to access "Calendar Settings".
  2. Under the "Calendar Properties" section, you will find "Column Properties" at the bottom.
  3. Check the box "Reduce calendar columns when no appointments or working hours are entered".
  4. Additionally, there is an option to hide employees who are not entered in the duty schedule. To do this, select "Hide absent employees" by clicking on it.
  5. Confirm your entries by clicking the "Save" button.

Reduce calendar columns

Personal Calendar View

It is possible to set up and save a personal calendar view. This means that with each login you will have your personal view and, for example, not all, but only selected employees, rooms and devices will be displayed to you.

Set up personal view

  1. Go to "Calendar" in the navigation bar.
  2. Select the "All" button in the bottom right.
  3. Determine which employees, rooms and devices you want to see in your calendar view.

Save personal view

  1. Click on "Settings" in the navigation bar.
  2. Under the "Personal" heading, select the function: "add, remove or change desired employees".
  3. Select your own employee profile.
  4. Click on "Settings" under the "Profile" section.
  5. Check the box for "save personal calendar view".
  6. Your view will now remain permanently.
  7. Changes are made in the same way.

Calendar View

Depending on your team size and screen size, different views are suitable for your calendar. You can change the calendar views at any time in the bottom right of your Belbo calendar.

Available calendar views

All
Specify which employees and resources you would like to see displayed in the calendar. After reloading, the complete team is visible again. If you want to set specific employees as default, use the personal calendar view

Standard
All days are displayed in a flowing view. The width of the columns – and thus also the width of each day – can be set in the Calendar settings.

Day view
Only one day is displayed at a time. This is suitable for large teams.

Week view
One week is displayed. This is suitable for small teams.

Date button
By clicking the button of the calendar week, a thumbnail view of the next three months is displayed to you. This allows you to quickly select a day further in the future.

Set calendar view as default

If you use the buttons in the bottom right of your calendar, the selection is only changed temporarily and will be reset to the selected default after reloading the calendar. You can set the default view in the Calendar settings.

Browsing in the calendar

The arrows located on the left and right in the middle of the screen scroll the view in the respective direction. Depending on the calendar view, you can scroll from day to day in day view and from week to week in week view. You can also scroll through the calendar by clicking the arrow keys on your keyboard.

Furthermore, there is a selection bar at the bottom right of the calendar with various options for the calendar view. The arrow keys next to the date button also scroll the calendar, either day-by-day or week-by-week depending on your previous selection of the view. To scroll through multiple months, use the calendar's thumbnail view, which opens by clicking the date button. Here you can quickly select a day in the distant future.

In the Belbo online calendar you can see everything at a glance: your appointments, working hours, tasks and employees. To customize the calendar precisely to your needs, you have numerous setting options.
